Location: Durham, NC (Greater Metro Area)
We are seeking a Medical Office Administrator to lead the daily operations of a multi-provider practice, from front-office workflow and staffing to financial performance and regulatory compliance. This position is a full-time, direct hire opportunity based in the greater Durham, NC metro area.
This role is best aligned for a practice leader who is comfortable owning both the people and the numbers. You will supervise the non-clinical team, keep patient flow moving, manage the budget, and partner directly with physicians on the operational changes that improve patient experience. The ideal candidate brings hands-on multi-provider management experience, reads a monthly financial report with confidence, and builds the kind of front-office culture that patients notice.
Responsibilities:
- Manage daily operations of a multi-provider medical office including scheduling, patient flow, and staff supervision
- Oversee front desk, check-in and check-out, referral coordination, and medical records functions
- Monitor practice financial performance including charge capture, collections, and accounts receivable aging
- Manage office supply procurement, vendor relationships, and equipment maintenance
- Recruit, onboard, train, and evaluate non-clinical support staff
- Ensure compliance with OSHA, HIPAA, CLIA, and North Carolina healthcare facility regulations
- Partner with physicians on patient satisfaction initiatives and operational process changes
- Prepare monthly operational reports covering productivity, patient volume, and staffing metrics
- Manage the practice budget including expense tracking, invoice approval, and variance reporting
- Resolve escalated patient concerns related to scheduling, billing, and service delivery
Qualifications:
- Bachelor’s degree in Healthcare Administration, Business, or a related field preferred; equivalent experience accepted
- Minimum of 3 years of medical office management experience in a multi-provider practice required
- CMPE, CMM, or a comparable practice management credential preferred
- Working knowledge of medical billing, insurance verification, and front-end revenue cycle operations
- Experience with practice management systems and EHR platforms required
- Familiarity with OSHA, HIPAA, and CLIA compliance requirements in an ambulatory setting
- Proven leadership skills with the ability to manage diverse teams and competing priorities
Schedule:
- Full-time position
- On-site in the greater Durham, NC metro area
- Standard business hours, Monday through Friday
- Standard full-time schedule of 40 hours per week
Salary Range:
The salary range for this position is approximately $62,000 – $75,000 annually ($29.81 – $36.06 per hour), based on experience and qualifications.
